If you have signed up for Office 365, Microsoft Dynamics NAV can use this service to open and save documents. For example, when you export a report to Excel and save it on Office 365, Microsoft Dynamics NAV can use Excel Online that your Office 365 account uses to open the document.

Before you can use Office 365 and SharePoint Online with Microsoft Dynamics NAV, you must configure the service in Microsoft Dynamics NAV.

If you want to use the same folder to store temporary files for all users, you must specify a shared user account. Otherwise, each user's temporary files are stored in their personal document repository on the SharePoint site.

To configure online document storage in Microsoft Dynamics NAV

  1. In the Search box, enter Online Document Storage Configuration, and then choose the related link.

  2. In the Online Doc. Storage Config. window, fill in the fields as described in the following table.

    Field Description

    Service ID

    Specifies a unique code for the service that you use for accessing and storing documents.

    You can define your own code because this ID is only used internally in Microsoft Dynamics NAV to map to the service that is specified in the Location field.

    Description

    Specifies a description for the document service, such as Our Office 365 account.

    Location

    Specifies the unified resource indicator (URI) for your site on SharePoint Online, such as https://Cronus.sharepoint.com.

    Folder

    Specifies the folder in the document repository that you want documents to be stored in, such as Business Documents.

    This configures Microsoft Dynamics NAV to store temporary files in each user's personal document repository on the specified SharePoint site. When a user sends Microsoft Dynamics NAV data to Excel, for example, they are asked to sign in to SharePoint with their Office 365 credentials.

    We recommend that you make sure that the temporary files are removed periodically.

    Important
    If the location of your online document storage changes, you must update the configuration in the Online Doc. Storage Config. window.

  3. If you want to use a shared folder for temporary files, you must also follow the following steps.

    If you follow these steps, users are not asked to sign in to SharePoint when they send Microsoft Dynamics NAV data to Excel.

    1. On the Shared Documents FastTab, fill in the fields as described in the following table.

      Field Description

      Document Repository

      Specifies the name of the document library, such as Documents.

      User Name

      Specifies the account that Microsoft Dynamics NAV Server must use to log on to the document service.

      Tip
      We recommend that you specify a different user name than the administrative account. This helps reduce the risk of users accessing administrative settings, for example. For example, if your user name as an administrator is CronusAdministrator@Cronus.onmicrosoft.com, then the user name for Microsoft Dynamics NAV Server can be nav@Cronus.onmicrosoft.com or any of the regular user names that you have created.

      You must specify a password for the account as described in the following step.

    2. On the Actions tab, in the General group, choose Set Password.

    3. In the window that appears, specify and confirm the password for the account that you specified in the User Name field. Choose the OK button.

      When you have set up the service, you can test whether that configuration is valid.

    4. On the Actions tab, in the General group, choose Test Connection.

      A message displays the result of the test.

Now, users can use the specified online document storage service to open and save documents from Microsoft Dynamics NAV.

Optionally, you can specify the email account that each user signs into Office 365 or SharePoint Online with in the User Card window.

If you want to disable the integration with Office 365, on the Actions tab, in the General group, choose Delete. This action clears all field values in the Online Doc. Storage Config. window. Microsoft Dynamics NAV will use the versions of Office that are installed on the users’ computers.
